How to create custom roles

Create an office-specific role with only the permissions its users need.

Create a custom role when the system roles do not match a team's responsibilities. Use the least access needed for the work the user performs.

Before you start

  • Confirm that you can manage roles in the current office.

  • Review the office's enabled features and identify the minimum permissions the role requires.

System roles

System roles are maintained by Flinq and cannot be edited. Compare their current responsibilities in Roles and permissions reference before creating a custom role. Available permissions may differ when a product feature is not enabled for the office.

Create a custom role

  1. Go to Settings > Roles.

  2. Select New role.

  3. Enter a clear role name based on the responsibility, not a person's name.

  4. Open each relevant permission category and select only the permissions required.

  5. Create the role.

  6. Assign it to the appropriate users.

Review or change a role

Open a custom role to change its permissions. Review the affected users before saving. Use History to review changes where available.

Archive a custom role when it should no longer be assigned. Do not replace a system role with a custom copy unless the system role grants more access than the team needs.

Check feature visibility

A custom role does not enable a product. The office feature and the relevant permission must both be available. Revisit custom roles when an office enables or disables a product.
