How to create and manage books

Group bank accounts and Fixed Term Deposits for reporting and operational views.

Create a book and keep its bank-account membership accurate for reporting and operational views. Where Fixed Term Deposits are enabled, you can assign a deposit to a book when you create or review the deposit.

Before you start

  • Books must be enabled for the office.

  • You need the relevant permission to view, create or edit books.

  • Each bank account can belong to only one book at a time. Remove an account from its current book before adding it to another.

Create a book

  1. Go to Banking > Books.

  2. Select New book.

  3. Enter a clear name.

  4. Optionally select bank accounts to add during creation.

  5. Select Create. Flinq opens the new book and displays its summary and linked records.

Add accounts from the book

  1. Go to Banking > Books and open the book.

  2. In Bank Accounts, select Add Accounts.

  3. Search or filter the available accounts, then select one or more accounts that do not already have a book.

  4. Select Add Selected. The accounts appear in the book and its account count and summary update.

Add accounts from Bank Accounts

Go to Banking > Bank Accounts. Use the row action to add one account to a book, or select several accounts and use the bulk Add to Book action. Only accounts that are eligible for the selected book are changed.

Remove accounts from a book

  1. Open the book and find the account in Bank Accounts.

  2. For one account, select Remove from Book. For several accounts, select the rows and choose Remove Selected.

  3. Review the confirmation, then remove the account or accounts.

Removing an account clears its book assignment; it does not delete the bank account, statements or transaction history. The book summary and later book-filtered reporting no longer include that account.

When Fixed Term Deposits are enabled, choose the book in the deposit request or during the internal review of a portal request. The linked deposit then appears in the book’s Fixed Term Deposits list. A deposit has one book assignment at a time.

Review the result

Open the book to review the linked bank accounts, Fixed Term Deposits and summary metrics. For the meaning of the book values, see Books and reporting overview.
